Terms of Service

Last updated: 22 October 2026

Welcome to Sanctum Hex.

These Terms of Service govern your use of our website, sanctumhex.com, and any purchases made through our online store.

By accessing our website or placing an order, you agree to these terms. Please read them carefully before making a purchase.

1. About Sanctum Hex

Our products are created with an emphasis on distinctive design, craftsmanship and individual expression.

2. Products and Descriptions

We aim to ensure that all product descriptions, photographs, dimensions, materials and prices displayed on our website are accurate.

Many Sanctum Hex products are individually handcrafted or produced in small batches. As a result, minor variations in colour, grain, finish or appearance may occur.

These natural variations are part of the character of handmade products and do not necessarily constitute defects.

We reserve the right to make reasonable changes to product descriptions, specifications and availability.

We endeavour to represent our products accurately, although colours may appear slightly different depending on your screen or device.

Nothing in this section affects your statutory consumer rights.

3. Pricing and Payment

All prices displayed on our website are in British Pounds Sterling (GBP), unless otherwise indicated.

Any applicable taxes will be reflected in the prices or clearly identified during checkout, as required by law.

Delivery costs are calculated and displayed before you complete your purchase.

Payments are processed securely through Shopify and its supported payment providers.

We do not store your full payment card details.

We reserve the right to correct pricing errors. If an error affects an order you have placed, we will contact you before proceeding and offer you the choice of accepting the corrected price or cancelling the order for a refund.

4. Orders and Acceptance

When you place an order, you will receive an automated order confirmation.

An order confirmation acknowledges that we have received your order but does not necessarily mean that it has been accepted.

For physical products, an order is accepted when we confirm dispatch.

For digital products, an order is accepted when the purchased content is made available to you.

We reserve the right to decline or cancel an order where there is a genuine issue involving availability, payment verification, pricing errors or suspected fraudulent activity.

If we cancel an order after payment has been taken, we will issue a refund.

5. Handmade Products

Many Sanctum Hex products are designed, laser-cut, engraved, assembled or finished by hand.

Natural materials such as wood, slate and leather may display variations in texture, tone, grain and finish.

Small differences between individual pieces should be expected.

We take reasonable care to ensure that all products meet their advertised descriptions and applicable quality standards.

6. Shipping and Delivery

We aim to dispatch orders within the processing times stated on the relevant product pages.

Delivery times depend on the selected shipping method and destination.

Estimated delivery dates are provided as guidance and are not guaranteed unless expressly agreed.

If we are unable to fulfil an order within the agreed timeframe, we will contact you to discuss the available options.

For further information, please refer to our Shipping Policy.

7. Returns, Refunds and Cancellations

We want customers to be satisfied with their purchases.

For most physical products purchased online, UK consumers have a legal right to cancel their order within 14 days of receiving their goods, without providing a reason.

Certain exceptions may apply, including products genuinely made to a customer's individual specifications or clearly personalised.

Products that are part of our standard catalogue are not automatically excluded from cancellation rights simply because they are handmade or produced to order.

If you receive an item that is faulty, damaged or not as described, your statutory rights remain unaffected.

Full details of return procedures, eligibility, refund arrangements and customer responsibilities are provided in our Return and Refund Policy.

Nothing in these Terms of Service limits or excludes your rights under applicable consumer protection legislation.

8. Digital Products and Downloads

Sanctum Hex may offer digital products, including SVG files, artwork, design templates, printable resources and other downloadable content.

Digital products are generally delivered electronically after payment has been completed.

Customers are responsible for ensuring that any purchased files are compatible with their software, equipment and intended applications.

We aim to provide accurate descriptions of file formats and compatibility requirements.

Digital content is protected by copyright and remains the intellectual property of Sanctum Hex or its respective rights holders.

Purchasing a digital product grants the buyer a licence to use that content under the terms specified in the relevant product listing.

Ownership of the underlying intellectual property is not transferred.

Digital Product Cancellation Rights

UK consumers normally have a 14-day cancellation right for digital content purchased online.

Where the customer expressly agrees to immediate delivery of digital content and acknowledges that they will lose their cancellation right once supply begins, that right may end when the content is supplied.

This exception applies only where the relevant legal requirements have been satisfied.

If those requirements have not been met, the customer's statutory cancellation rights continue to apply.

Digital products that are faulty, incorrectly described or otherwise fail to meet applicable consumer protection requirements remain subject to statutory remedies.

9. Commercial Use and Licensing

Some Sanctum Hex digital products include permission for commercial use.

Where commercial use is permitted, the scope of the licence will be described in the applicable product listing or accompanying licence documentation.

Unless expressly authorised, customers may not:

  • Resell, redistribute or share the original digital files.

  • Upload purchased files to competing digital marketplaces.

  • Claim authorship or ownership of the original designs.

  • Distribute modified versions as standalone digital design products.

  • Transfer or sublicense their rights to another party.

Permission to manufacture and sell physical products using licensed designs does not automatically include permission to redistribute the source files.

Specific licence terms supplied with a digital product take precedence over these general provisions where they differ.

10. Intellectual Property

All original designs, artwork, photography, written content, branding and other creative materials published on sanctumhex.com are protected by applicable intellectual property laws.

Unless otherwise stated, original content belongs to Sanctum Hex.

You may not reproduce, redistribute or commercially exploit our original content without permission, except where expressly permitted by a product licence or applicable law.

The Sanctum Hex name, branding and associated original artwork must not be used in a manner that falsely suggests endorsement or affiliation.

11. Website Use

You agree to use our website lawfully and responsibly.

You must not attempt to interfere with its operation, gain unauthorised access to restricted systems, introduce malicious software or use the website for fraudulent purposes.

We reserve the right to restrict access where necessary to protect our website, customers or business.

12. Third-Party Services

Our online store is hosted using Shopify.

We may also use trusted third-party providers for payment processing, shipping, analytics and other essential business functions.

These services may be subject to their own terms and privacy policies.

We are not responsible for independently operated third-party websites linked from our store.

Nothing in this section excludes any responsibility that Sanctum Hex has to customers under applicable law.

13. Privacy and Personal Information

We respect the privacy of our customers.

Personal information collected through our website is processed in accordance with our Privacy Policy and applicable data protection legislation.

Information may be used to process orders, arrange delivery, respond to enquiries and provide services requested by customers.

Marketing communications will be sent in accordance with applicable consent and privacy requirements.

Please refer to our Privacy Policy for further details.

14. Limitation of Liability

We take reasonable care in operating our website and supplying our products.

However, we cannot guarantee that the website will always operate without interruption or technical errors.

Nothing in these terms excludes or restricts liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or breach of your statutory consumer rights.

Any limitations of liability apply only to the extent permitted by applicable law.

15. Changes to These Terms

We may update these Terms of Service periodically to reflect changes to our business operations, products, website or legal obligations.

The latest version will be published on this page with an updated revision date.

Changes will not retrospectively remove contractual or statutory rights relating to purchases already made.

16. Governing Law

These Terms of Service are governed by the laws of Scotland.

Any disputes will be subject to the jurisdiction of the Scottish courts, except where applicable consumer protection legislation gives a customer the right to bring proceedings in another jurisdiction.

Nothing in these terms affects mandatory consumer protections available to customers under the laws applicable to their purchases.
